Privacy Policy

1. Who we are

Wedding Help NI (“we”, “us”, “our”) operates weddinghelpni.com, a directory that helps couples in Northern Ireland find wedding suppliers, and provides listing and promotion services to those suppliers.

For the purposes of UK data protection law we are the data controller for the personal information described in this policy. 2. The information we collect

When you send an enquiry to a supplier, we collect your name, email address, telephone number if you provide one, your wedding date if you provide one, and the message you write.

When you contact us directly through our contact form, we collect your name, email address, the subject you choose and your message.

When you create a supplier account, we collect your name, email address, a username where you choose one, and a password. Passwords are stored only as a secure one-way hash — we cannot read them, and neither can anyone who obtained a copy of our database.

When you hold a paid listing, we store your subscription tier, its status and renewal date, and an identifier for your customer record with our payment provider. We never see or store your card number: card details are entered directly with Stripe and are held by them.

When you leave a review, we collect your name, email address, your rating and your review text. Your name and review may be published; your email address is not.

When you vote in the awards, we collect your name, email address, and the category and nominee you chose. We also store a one-way hash of your IP address, which lets us prevent the same person voting repeatedly without keeping the address itself.

When you claim a free award listing, we collect your business name, contact name, email address, telephone number if given, your town and your logo.

When you buy an event ticket, we collect your name, email address and telephone number so that we can admit you on the night. Payment is handled by Stripe.

When you use our free planning tools — the budget planner, checklist, guest list and countdown — that information is saved in your own browser and is never sent to us. Clearing your browser data deletes it.

3. Why we use it, and our lawful basis

To pass your enquiry to the supplier you chose, and to keep a record of it for that supplier. Our lawful basis is legitimate interests: you contacted the supplier expecting us to deliver the message, and it cannot be delivered otherwise.

To create and run your account, take payment for a listing, and provide the services you have paid for. Our lawful basis is performance of a contract with you.

To publish supplier listings and reviews, which is the service couples come to the site for. Our lawful basis is legitimate interests.

To keep awards voting fair — one vote per person per category. Our lawful basis is legitimate interests.

To keep the platform secure: limiting repeated sign-in attempts and form submissions, and detecting abuse. Our lawful basis is legitimate interests.

To send you service messages you would expect, such as a password reset link, a payment receipt or a notice about your listing. Our lawful basis is performance of a contract, or legitimate interests where you are not a customer.

To send marketing or newsletters, where we do so, our lawful basis is your consent, and you can withdraw it at any time using the unsubscribe link in the message.

4. Who we share it with

When you send an enquiry, its contents — including your name, email address and any telephone number — are sent to the supplier you selected so that they can reply to you. That supplier is an independent business and becomes responsible for the information once they receive it; their own privacy practices are their own.

We use a small number of service providers who process information on our behalf, under contract and only on our instructions:

Stripe, for payments and subscriptions. Stripe receives your name, email address and payment details directly.

Postmark, for sending transactional email such as enquiry notifications, receipts and password links.

Railway, which hosts the website and our database.

Cloudflare, which sits in front of the website to serve it quickly and protect it from attack, and which also stores supplier photographs and other media.

Rybbit, a self-hosted website analytics service run by our development partner Podium Dev, described in section 6 and in our Cookie Policy.

We do not sell your personal information, and we do not share it with advertisers.

We may disclose information where we are required to by law, or to establish or defend legal claims.

5. How long we keep it

Enquiries are kept for [RETENTION PERIOD — e.g. three years] so that suppliers have a record of the couples who contacted them, after which they are deleted.

Account and billing records are kept for as long as the account is open, and afterwards for as long as we are required to keep financial records — generally six years for tax purposes.

Published reviews are kept for as long as the listing they relate to is published.

Awards votes are kept until the results of that year’s awards are final, and are then reduced to anonymous totals.

Contact form messages are kept for [RETENTION PERIOD — e.g. twelve months].

Where we no longer need information, we delete it or reduce it so that it can no longer identify you.

6. Analytics

We use Rybbit to understand how the site is used — which pages are visited, roughly how long people stay, and which sites people arrive from. It is self-hosted by our development partner rather than run by a large advertising company, and the information is not sold, shared or used to build advertising profiles.

Rybbit stores a randomly generated visitor identifier in your browser so that repeat visits are not counted as new ones. It does not set advertising cookies and does not track you across other websites.

7. Where your information is held

Our website and database are hosted in [HOSTING REGION — confirm the Railway region in use]. Some of our providers, including Stripe and Postmark, may process information outside the United Kingdom. Where they do, that transfer is covered by the safeguards those providers put in place, such as the UK International Data Transfer Addendum or an adequacy decision.

8. Your rights

Under UK data protection law you have the right to ask for a copy of the personal information we hold about you; to have inaccurate information corrected; to ask us to delete it; to ask us to restrict how we use it; to object to processing we carry out on the basis of legitimate interests; and to receive information you gave us in a portable form.

Where we rely on your consent, you can withdraw it at any time. Withdrawing consent does not affect anything we did before you withdrew it.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113. We would appreciate the chance to put things right first.

9. Keeping information safe

The site is served over an encrypted connection. Passwords are stored only as one-way hashes. Access to the administration area is restricted to named administrators. Sign-in, enquiry, review and voting forms are rate limited to make automated abuse harder.

No system is completely secure. If a breach occurs that is likely to present a risk to you, we will tell you and the Information Commissioner’s Office as the law requires.

10. Children

The site is intended for adults planning a wedding and for wedding businesses. It is not directed at children, and we do not knowingly collect information from anyone under 18.

11. Changes to this policy

We may update this policy as the platform changes. The date at the top of this page shows when it was last revised. This version was published on 01-09-2026.
